Privacy Statement

LOVENY MALE VOICE CHOIR PRIVACY STATEMENT - (GDPR 2018)

​In this policy LOVENY Male Voice Choir will explain how, why and when your personal data is collected. How it will be used and the circumstances under which we may disclose it to others and how we keep it secure.

Who is in possession of your data;
LOVENY Male Voice Choir, (Registered Charity No 284151) is the Data Controller (see below). This means it decides how your personal data is processed and for what purposes.


What is your personal data?
Personal data is governed by the General Data Protection Regulation 2016/679 (the “GDPR”) and this describes data as it relates to a living individual who can be identified from that data. Identification could be via the information alone or if it is used in conjunction with any other information in the data controller’s possession or likely to come into their possession.

 

What is the legal basis for processing your personal data?
This is described within Article 6 of the GDPR and we process data under one or more of the following bases set out in that Article: Consent of the data subject necessary for the performance of a contract with the data subject or to take steps to enter into a contract compliance with legal obligations (for example Companies Act, Charities Act and HMRC requirements) or necessary for the legitimate interests of the Data Controller, except where such interests are overridden by the interests, rights or freedoms of the data subject (in this context our legitimate interests are to promote the objects of the Choir – “The Object of the Choir is to promote public appreciation of the arts and in particular to encourage public appreciation of and to educate people in the art of choral singing by the participation in and presentation of concerts and similar activities” and to carry out our legal and contractual obligations efficiently).

How do we process your personal data?
LOVENY Male Voice Choir will comply with the GDPR by maintaining up to date records of personal data; store and destroy it securely; only collect necessary data; secure it from loss, misuse, disclosure and unauthorised access by appropriate protection methods. No other data is collected from outside sources unless it is from an open source.

Reason for collection of personal data is collected

Member choristers; administration of membership fees and associated activities

New member applications; administrate new applications through joining process.

Past member choristers and friends; to contact and inform of choir events.

Suppliers to the Choir; to maintain the relationship.

Other data may be collected and administrated in accordance with the regulations.

 

​Access to your personal data;

Only those within the choir who are involved in the administration of the choir's activities and membership will have access to your data and only when necessary. We will only share your data with a third party with your consent, unless required by law. You have the right to receive a copy of the data that we hold on you and to correct any discrepancies, require it to be deleted and for it to be restricted in its use by the choir administrators. You have the right to complain by contacting the Information Commissioners Office.

How long do we keep your personal data?
For only as long as reasonably necessary, or as your specific requirements and as per the regulations. Be aware that, as a charity, we are obliged to hold financial and other records for a minimum of 6 years.

Changes to how we process personal data
Loveny MVC Committee may revise this Data Privacy policy from time to time. If so, we will issue a new notice explaining any new purposes and processing conditions and seek your acceptance where necessary.
